GENERAL TERMS & CONDITIONS

 

1. Reservations
As it is always better and more secure for a reservation days so we strongly advise you to book at least 4 weeks in advance, if possible, even longer. Try to avoid last minute booking as much as possible since it is hard to arrange accommodation, guide, train ticket, internal and/or international air tickets.

 

2. How to reserve
After you fill out booking form, a summary of your request or service will automatically send to our Sales Department, you will receive our response within 24 hours. If you do not hear from us after submitting the application form as stated time, please resend your request to: info@vietnamimpresive.com and vietnamimpressive@gmail.com. If you are staying in Hanoi, welcome to visit our office to book service in advance in working day. 3. Last-minute booking
We accept reservations up to 24 hours before departure time of train. Otherwise, please go directly to train station buying your own ticket. Urgent request, let reach us to our hotline support at+84 912476515, +84 979819575 and send an email to: info@vietnamimpresive.comvietnamimpressive@gmail.com or call to our office tel: +84 243 9747543 in working time.
Opening Hours: Monday to Friday & Saturday morning between 8:30-12:00 & 13:30- 18:00
Closed: Saturday afternoons, Sundays & Festival days

 

4. Payment conditions
4.1: 45 days before arrival either by telegraphic bank transfer or by credit cards (VisaCard, MasterCard, JCB, & UnionPay are widely accepted) for package tours.
Note: the deadline payment can be changed upon specific item request, pls find detail email reply for your case.

 

4.2: : Immediate payment required for visa, train ticket, internal/external flight service, car transfer or any last minute booking services.

 

4.3: Deposit payment required for tour package, hotel booking far from your check-in date

 

4.4: 45 days before arrival for hotel booking only service.

 

5. Cancellations

5.1 Package tours
Once reservation is proceeded/or confirmed: 10% of a.m.price for administration fee and plus cancellation fee specifique as bellow:
39 to 31 days before arrival : 15% of a.m. price
30 to 22 days before arrival : 25% of a.m. price
21 to 14 days before arrival : 35% of a.m. price
13 to 7 days before arrival : 45% of a.m. price
Less than 7 days before arrival : 80% of a.m. price
No show is no refund.
Re-booking: US$40.-

 

5.2 Visa
Once processing your request, no amendment, no refund applied in all case. Any wrong information provided, you need to redo a new letter, pay againthe fee.

 

5.3 Train ticket service
To cancel train ticket, we need the passport copy of the booker and the passengers.

5.3.1: Administration fee is applied in all case once reservation is recorded/or proceeded: 10% fee of total amount charge and plus cancellation fee specifique bellow:

Normal period:

5.3.1a: For Vietnam Railways ticket –  once confirmed booking, e-ticket/picture of ticket/boarding pass copy/ticket-voucher has been issued.
– Case 1: We handle the cancellation: 40% ticket’s cost is applied, the cancellation must be done no later than 48 hours prior departure time of your train. Service fee, processing fee, surcharge fee or creditcard fee is non-refundable.
– Case 2: You handle your cancellation directly at train station, no later than 10 hours prior departure time of train (day time), please present the e-ticket or the physical ticket at the counter, then claim your receipt and contact us to proceed with the refund. 10% basic fare is charged and US$5,–/per booking for cancellation fee.

Tet, peak time, promotion ticket or festival period:

5.3.1b: For Vietnam Railways ticket – Tet, peak time, promotion ticket or festival period: once confirmed booking, e-ticket/picture of ticket/boarding pass copy/ticket-voucher has been issued.
+ Promotion ticket is non changeable or non refundable (low period, ticket sold 30-59 days prior departure date)

– Case 1: We handle the cancellation: 60% ticket’s cost is applied, cancellation must be done no later than 72 hours prior departure time of your train. Service fee, processing fee, surcharge fee or creditcard fee is non-refundable.
– Case 2: You handle your cancellation directly at train station, no later than 24 hours prior departure time of train (day time), please present the e-ticket/boarding pass copy at the counter, then claim your receipt and contact us to proceed with the refund. 30% basic fare is charged and US$10,–/per booking for cancellation fee.

For all cancellations: service fee, processing fee, surcharge fee and credit-card fee is non-refundable. No show is no refund.
Amendment information is un-acceptable once ticket has been issued or you need to buy new tickets. Small typing mistakes in the name of the passengers or the passport number will not require a modification of the booking, 30% false acceptance by Vietnam Railways system. If you wish to change any information in the reservation/ticket/boarding pass, you must cancel the successful booking and buy/issue new one, cancellation fee is applied.

5.3.2: For all tourist carriage train:
Once train ticket booking is arranged/or issued, 40% cancellation fee is applied. Service fee, processing fee, surcharge fee or creditcard fee is non-refundable.
Cancellation made in/or less 5 days prior to departure time, total amount charged.
No show is no refund.

5.3.3: We will not accept ticket to be refunded for following case:
– No show at ticket delivery
– Passenger fails to check-in or collect the ticket at the terminal on time
– Passenger fails to board on time
– The travel date passed and the ticket was not used
– We cannot accept any liability in relation to any complaint or problem if such is not notified at the time of occurrence

 

5.4 Flight ticket service
Once reservation is proceeded/or confirmed: 10% of a.m.price charge for administration fee and plus cancellation fee specifique bellow:
5.4.1: Domestic flight ticket: once ticket issued, the cancellation fee is applied in all case of reroute/ amendment or cancellation.
Business class, Economy Flex, Standard, Save, (except Lunar New Year period)
– Before flight date: US$25,–/route + upgrade cost to new ticket upon availability
– On/After flight date: US$40,–route + upgrade cost to new ticket upon availability
5.4.2: International flight ticket: once ticket issued, the cancellation fee is applied in all case of reroute/ amendment or cancellation.
Flight within Asia: Business class, Economy Flex, Standard, Save, (except Lunar New Year period)
– Before flight date: US$45,–/route + upgrade cost to new ticket upon availability
– On/After flight date: US$50,–route + upgrade cost to new ticket upon availability
Flight to Europe & Australia: Business class, Economy Flex, Standard, Save, (except Lunar New Year period)
– Before flight date: US$80,–/route + upgrade cost to new ticket upon availability
– On/After flight date: US$110,–route + upgrade cost to new ticket upon availability

 

5.5 Hotel booking service
Once reservation is proceeded/or confirmed: 10% of a.m.price charge for administration fee and plus cancellation fee specifique bellow:
29 days before arrival: 5% total room charge for entire stay
28-20 days before arrival: 10% total room charge for entire stay
9-19 days before arrival: 30% total room charge for entire stay
Less than 8 days prior to arrival or no show: 100% of total room charge for entire stay
Note: the percentage charge will be varied on each special case depending on each period, hotel categories or group booking, pls find this in our detail email reply applied for your case.

 

6. Liability
Vietnam Impressive Ltd strives to undertake everything reasonably possible to provide the best service to its clients. It must be noted that Vietnam Impressive Ltd. serves as an intermediary and/or agent for airlines, hotels, transport operators and various tourism firms that make up a tour package. The company will not be held liable for any loss, damage or additional expense that the client may experience. Additional expenses or loss relating to delay, accidents, natural disasters, political unrest are the responsibility solely of the client.
Participation in any tour offered by the company implies that the client has agreed to all terms and conditions as set out in this document. Vietnam Impressive Ltd shall not be liable for any damage caused whatsoever to the client by the failure to perform the contract or to alter the terms of the contract where failure and improper performance is not the fault of Vietnam Impressive Ltd. due to the following reasons:
• the failure in the performance of the contract is attributable to the client; or
• the failure is attributable to a third party that is not associated with the provision of the products or services contracted for and are unforeseeable or unavoidable; or the failure is due to Force Majeure.
No rain cheques or compensation will be given for non-attendance, rain or cancelled activities. Meals not taken are not refundable.
We cannot accept any liability in relation to any complaint or problem if such is not notified at the time of occurrence.

 

7. Insurance
We recommend travel insurance to cover accidents, theft or cancellation. Cancellation insurance is strongly recommended.

 

8. Warranty
Vietnam Impressive Ltd is not liable for any injury, loss or damage the traveller suffers during or in connection with the journey, nor for itinerary modifications due to circumstances beyond Vietnam Impressive Ltd’s control.

 

9. Documentation
A passport is required, valid for 6 months beyond your tour departure date. A visa is required for Vietnam except Scandinavian countries including Finland, Denmark, Sweden, Belarus, France, Germany, Italy, Spain, United Kingdom andASEAN countries including Thailand, Singapore, Laos, Indonesia, Philippines, Malaysia… (list might be extended in the future)

 

10. Health advisories 
Presently, no inoculations are required for travel to Vietnam. There are recommended inoculations such as Polio, Hepatitis, Typhoid and Malaria. Altitude may be a concern to some travelers. Please consult your physician for your specific needs.
